You may have seen us touch on SugarIdentity in previous posts, this post is more of a layman’s terms overview – as opposed to a detailed explanation of each new Setting (Tenant Settings etc).

What is SugarIdentity?

SugarIdentity is SugarCRM’s new cloud based User Identity Management Tool delivered in an all new interface.

SugarIdentity allows users to access all applications and services, and also manage user identities in their SugarCRM instance – supporting single sign-on for SugarCRM, Sugar Outlook Plugin and Sugar Mobile.

All services are managed through the Cloud Settings Console. This includes creating and managing user records, managing password requirements as well as more detailed configuration settings such as LDAP and the frequently requested SAML (Singe Sign On SSO) authentication for the MS Outlook Plugin.

SugarIdentity also supports the concept of Service Accounts which can be used to implement secure Server to Server integrations much easier without involving end user credentials.

Sugar’s aim is to create a central user authentication and access management point – with the view to improve Sugar Cloud User management overall.

No matter the flavour of Sugar you currently use, with SugarIdentity you are able to manage all end users in one place.

Determining if Your Instance Uses SugarIdentity

In order to access and use SugarIdentity in the Cloud Settings console the following prerequisites must be met:

• • You must be a Sugar administrator.
  • Your Sugar instance must be enabled for SugarIdentity use.

To check if your Sugar instance uses SugarIdentity

1 – Navigate to your user profile in Sugar and click “Edit”. If your instance is SugarIdentity-enabled, a pop-up message will appear stating that you (i.e. Sugar admin) need to access Cloud Settings to make changes to read-only fields (e.g. First Name, Last Name, Title). For regular users, the message will indicate to contact the Sugar administrator to make changes to read-only fields.

Accessing the Cloud Settings Console

Once your Sugar instance has been SugarIdentity-enabled, you will then be able to access the Cloud Settings console:

• • Admin > User Management > Select the Create New User option in the Users module tab’s actions menu
  • Admin > Password Management

Because you have an active Sugar session running, you will be authenticated automatically in the Cloud Settings console.

Alternatively, go directly to the Cloud Settings Console via the URL (You will need your login credentials to log in – Tenant ID & Password)

Feature Enhancements

(This list of feature enhancements will be updated monthly as new fixes for identified issues are released)

The following feature enhancements are included in this release of SugarIdentity:

• Tenant validation improvements : Some changes have been made to improve tenant validation for the Cloud Settings console in preparation for the upcoming login service enhancements.

Known Issues

The following known issues are present in this release of SugarIdentity:

• Logging into multiple SugarIdentity-enabled instances (e.g. production, sandboxes) in the same browser will result in an error for all but the first. As a workaround, additional instances can be accessed via a private browser window or separate browser.
• Changing the email address for the admin user (user ID = 1) via the Cloud Settings console may not update the email address as expected in Sugar.
• Logging out of the Sugar application does not properly alert the administrator of the session logout in the Cloud Settings console.
• The Users list view cannot be sorted by field columns in the Cloud Settings console.

Access Sugar from inside Gmail

A sidebar will display in Gmail which acts as the “link” between Gmail and Sugar. Users can easily access records from the main panel and create/update records in Sugar directly from Gmail. The panel will automatically display the Contact record of a selected email and related data such as Archived Emails, Calls, Notes, Opportunities and Cases can all be seen and reviewed.

Email Sync

Emails in Gmail can be selected for archiving either on sending (check the “Copy to SugarCRM” checkbox) or at a later stage directly from the email in your inbox (select the Collabspot icon in the email and choose “Quick add to SugarCRM” to archive against the Contact or “Save to SugarCRM” to select the module this email record should be archived against). Alternatively, via the settings in Collabspot (accessed by clicking on the Settings cog in the sidebar and selecting “Options”), auto-archival to Sugar for all outgoing emails can be enabled.

Email Tracking

Emails can be tracked via Collabspot. When enabled, this allows users to receive a notification when emails have been interacted with via the sidebar in Gmail. Email Tracking settings can be set by accessing the Settings cog symbol in the Collabspot sidebar, selecting Options and “Email Tracking”.
Users will also be able to see tracked emails per contact from the Contact record via the Collabspot sidebar and selecting “Tracked Emails”. Tracked emails will also show the City and Country from where the email was opened from.

Email Reminders

Users can set up Email Reminders for themselves to follow up with emails that haven’t been responded to in a set amount of time. The reminders can be set up in two ways:

1. Directly from an incoming email. Select the Collabspot icon and select “Add Reminder”. This will open a pop up to select a time for the follow-up reminder to be received and the email template that should be used.
2. Directly from an outgoing email. You will find a “Bell” icon in the Collabspot panel when composing an email. When clicking on the icon, a pop up will open for the user to select a time for the follow-up reminder to be received and the email template that should be used.

Email Templates

Users can create Email Templates in Collabspot. This allows standardisation across user responses and can also save time.
To create or edit email templates, users will need to select in the sidebar the Settings cog and select “Open Collabspot Portal” > Click on Email Templates and either “Create Template” or click on the name of an existing template to edit.
Note: Basic dynamic fields can be used in email templates such as First Name, Last Name, Account etc.

SugarCRM has released version 2.6.0 if the Sugar Plug-in for Microsoft Outlook.

This latest release includes the following new features and enhancements:

• Users have the option to decide if the plug-in should automatically create an account when the company name of a synced Outlook contact does not already exist in Sugar.
• Users can now decide between adding all of an email’s Outlook categories to Sugar as tags or only syncing the Sugar category as a tag on the email record.
• All archiving and email attachment options have been moved to new “Mail” tab in the configuration window.
• Data Privacy enhancements: If a data erasure in Sugar includes the Last Name and Email Address fields, the plug-in will now apply a “Data Privacy” category to the Outlook contact record in addition to permanently disabling the sync for the corresponding Outlook contact.
• Debug logging capability has been added to the installation package.
• Many records may now be related at once via the “Relate” button when creating a new Sugar record (e.g. a new contact) from Outlook.
• Users may now optionally select the email record’s teams when archiving an email from Outlook.

Sugar Plug-in for Microsoft Outlook 2.6.0 also addresses issues identified in prior releases of the Outlook Plug-in. More information on the new features and enhancements as well as the fixed bugs can be found in the MS Outlook Plug-in Release Notes 2.6.0.

Users can either download the plug-in from the Download Manager with an appropriate download key or by going to their user profile in the application and selecting the “Downloads” tab. Please review the Supported Platforms for the Outlook Plug-in before installing.

• Outlooks spellcheck feature is now supported when archiving an email to Sugar via the Send and Archive option.
• Changes have been made to improve performance when syncing between Outlook and Sugar.
